Objectives目的:At the end of this session, each trainee will be able to fully understand contact management by using ACCESSS.

1. A brief introduction of database
簡(jiǎn)要介紹數(shù)據(jù)庫(kù)

a. When we handle a great number of items, we need a system to categorize them for easy reference, like we use Cardex for business cards, paper file for documents, albums for photos.
處理大批數(shù)據(jù)時(shí)需要一個(gè)系統(tǒng)分類以方便使用,就好象我們使用名片盒來(lái)裝名片,用文件夾來(lái)存儲(chǔ)文件,用相冊(cè)來(lái)裝相片。
b. The database is something that can h

數(shù)據(jù)庫(kù)就可以在處理大批數(shù)據(jù)時(shí)發(fā)揮作用。
It is like Excel, with rows and columns. But it has different format, which is called FORM.
它就象是EXCEL,也有行列;但是可以做成

c. Another type of form is called subform. It is attached to each rec
5、ord in the form regarding information of this record. For example, a subform may contain all interaction report of one contact (record) in a form.

d. Query is a type of form that may combine data from different forms and tables

It contains two forms, two queries, one table and one report:
a. CONTACTS: This form is about details of
7、 the contact person and his company.
b. CALLS Sub-Form: This form is about detail contents of interactions between the contacts and hotel MC department.
c. Trace Query: This query is used to for future follow up.
d. CONTACTS-CHN query: This query is used to generate Contact Report in Word.

8、CONTACT-CHN table is used to generate letters in Word.
f. CONTACT-BRIEF: This report contains the every means of communicating the contact person.

Required components for the CONTACTS form are:
a. Chinese Name
b. Title
c. Department
d. Company Name
e. Telephone Number

必須要填

3. The database will be zipped and backed up twice a week and protected against data loss due to any accidental computer problems. 數(shù)據(jù)庫(kù)一周壓縮備份兩次,以防電腦故障造成數(shù)據(jù)丟失。
4. Changes made on the structures of the database are subject
11、to MarCom Manager's approval. 修改數(shù)據(jù)庫(kù)的結(jié)構(gòu)必須得到公關(guān)部經(jīng)理的許可。
5. The database will be password secured. Access to the database is subject to approval of Director of Sales & marketing and MarCom Manager.
